What is a KPI dashboard?
A KPI dashboard (Key Performance Indicator dashboard) is a visual overview that brings your organisation's most important performance indicators together — revenue, margins, conversion, stock, customer satisfaction, productivity — on a single screen, refreshed automatically and always current.
Where Excel reports quickly go stale and get scattered across departments, a dashboard brings every data source together in one place. Finance, sales, operations and the board see the same numbers, at the same moment.
Why a KPI dashboard is indispensable in 2026
| Without a KPI dashboard | With a KPI dashboard |
|---|---|
| Figures are 2–7 days old | Real-time or automatically refreshed |
| Scattered Excel files | One central source of truth |
| Manual reporting takes days | Reports generated in seconds |
| Decisions on gut feeling | Decisions on real data |
| No forecasting, no alerts | Forecasts + alerts when things drift |
The benefits at a glance
Which data sources can we connect?
Practically anything with an API or a database. The most requested sources:
Accounting & ERP
Marketing & analytics
Sales & CRM
E-commerce
Custom sources
> Important: every connection runs through encrypted tunnels and is GDPR-compliant. We only ask for read access — we never write to your systems without explicit permission.
Power BI, Tableau, Metabase or custom — what fits you?
| Platform | Strong at | Less suited to |
|---|---|---|
| Power BI | Microsoft environments, finance/operations, complex DAX formulas | Polished public-facing dashboards |
| Looker Studio | Quick marketing dashboards, free entry point | Complex data modelling |
| Tableau | Powerful visualisations, enterprise BI | Small budgets |
| Metabase | Open source, self-service queries for teams | Very large data volumes |
| Custom (React) | Full brand styling, embedded in your own app, client portals | A fast MVP without a developer |
At VirtuoLab we advise based on who will use the dashboard — not on which brand has the biggest sponsorship budget. For internal finance reporting, Power BI is often the smartest choice. For a dashboard you show clients as a selling point, we build custom in React with embedded charts (Recharts, Tremor, Visx).
What does a KPI dashboard cost?
| Level | What you get | Price range |
|---|---|---|
| Starter | 1–2 data sources, 5–10 KPIs, standard layout, Power BI / Looker Studio | €2,500 – €5,000 |
| Professional | 3–6 sources, role-based access, your own brand styling, alerts, exports | €5,000 – €12,500 |
| Custom | Fully bespoke in React, embedded in your own app, client portals, forecasting | €12,500 – €35,000+ |
On top of that there is usually a monthly fee for hosting, monitoring and further development (€150 – €750 per month, depending on scope).
What determines the price?
How we work: from first conversation to live dashboard
1. Design-thinking session (week 1)
Together with your team we map out which decisions the dashboard needs to support. Not "which charts do we want", but "which questions do we want to answer". The result: a PDF brochure with scope, KPI definitions and mockups to validate.
2. Connecting data sources (week 2)
We connect every source and build a data layer that keeps all calculations consistent. One KPI = one definition, shared by every department.
3. Building the dashboard (weeks 2–3)
The dashboard takes shape in your brand style. Filters, drill-downs, exports and alerts get built in.
4. Live and evolving
Launch, training and ongoing support. New KPIs or sources are easy to add later.
Typical lead time: 2 to 6 weeks, depending on complexity.

Frequently asked questions
How quickly can a dashboard go live?
Simple dashboards (1–2 sources) are live within 2 weeks. Complex projects with forecasting and custom design take 4–6 weeks.
Do we need developers in our own team?
No. We handle the whole process — from connecting data sources to training. It helps to have one person in your organisation who co-owns the dashboard.
What if we want to add extra KPIs after launch?
That is exactly why we build modularly. New KPIs usually cost between €250 and €1,500 each, depending on complexity.
Is a dashboard GDPR-compliant?
With us, always. All connections through encrypted tunnels, all data in EU data centres, role-based access, audit logs and a data processing agreement included as standard.
Does the dashboard work on mobile?
Yes. We always build responsive — desktop, tablet and smartphone. For board users we often add a separate "executive view" with only the top KPIs.
Can we maintain the dashboard ourselves?
For Power BI / Looker Studio: yes, after training you can add and adjust KPIs yourself. For custom React dashboards we recommend ongoing maintenance — we offer monthly contracts for that.
