What does FiscalDesk do?
FiscalDesk is accounting software for accounting firms that processes purchase invoices by itself. A firm manages the books of all its clients in it, with ledger, bank, VAT and reports. First, documents arrive by upload, email, e-invoices in UBL format or the client's FiscalDesk app. Second, the AI reads the supplier, invoice number, date, lines and VAT of every invoice, including from a photo through OCR. Third, FiscalDesk picks the ledger account and VAT code based on the firm's chart of accounts, also for reverse-charge or foreign VAT. The software then checks the maths: lines times price, and net plus VAT equals the total. Finally, FiscalDesk books the invoice, or gives it the label Review or Suspicious with the reason attached. An accountant only looks at what deviates.
What problem does FiscalDesk solve, and for whom?
FiscalDesk is made for accounting firms with many client books, from a small practice to more than 200 clients. The problem is data entry: every purchase invoice has to be typed in, coded and checked, often in a separate invoice tool next to the accounting package. FiscalDesk replaces both with one package. The firm's clients scan receipts with the app or forward them by email, and the practice inbox decides per document which client it belongs to. The review centre only shows invoices with a label, so staff spend their time on exceptions. AI assistants also run recurring tasks on a fixed schedule. Business owners who keep their own books can take a single set of books. Firms pay from €349 a month for up to 25 clients, business owners from €15 a month, both excluding VAT. Every plan has a 30-day free trial.
How did VirtuoLab build FiscalDesk?
VirtuoLab built FiscalDesk as a web application with Next.js and React, with a PostgreSQL database on its own virtual server at TransIP in the Netherlands. Each firm is isolated in the database with PostgreSQL row-level security, and the application connects with a role that has no admin rights. Even a bug in the code therefore cannot show another firm's data. Every incoming file passes the ClamAV virus scanner first, and the file type is determined by its content, not its name. Reading is done with a language model from Anthropic, in the United States; text from scans and photos comes through OCR. For migration, FiscalDesk reads clients, suppliers and charts of accounts once from eight packages, including SnelStart, Exact Online, Moneybird, Yuki and Jortt, without sending anything back. An encrypted backup runs every night. VirtuoLab uses the same approach for custom software for other businesses.
